Kingston Bryce Limited- The Acquire Project
Project kickoff welcome email
Subject: The Acquire Project Kick–Off
Hello Members,
How do you do? I am excited to kick-start the Acquire Project together with Kingston-Bryce Limited employees as well as our new colleagues. This marks the beginning of KBL’s vision and the fulfillment of dreams we have all cherished for long enough. As the saying goes, the journey of a thousand miles begins with a single step. I wish to offer guidelines, highlight the members of the team, list stakeholders, and discuss the project’s duration. This information will offer each individual a sense of direction and each team a meaningful purpose.
Primarily, this project is expected to result in a successful acquisition. The acquisition is expected to expand KBL, its market share, product and service portfolio, physical presence, skills, workforce, and financial resources. The project’s delicacy and importance to KBL demands that each member carries out their roles and responsibilities impeccably and collaborates with the team members.
There will be two main teams during the project’s entire duration. The executive team will involve the top-level managers from both companies. They will offer guidance, mandates, instructions, and direction on critical issues. The operational team will involve employees from both companies. Their main roles will be to implement the strategies that are put in place for the achievement of goals and objectives. Project managers will supervise the operational team.
The acquisition process is expected to affect or be affected by various individuals and groups. First, the employees are the main stakeholders. They will be required to take part in the project. Their efforts will affect its success, while the result will affect the employees’ careers. The shareholders from both companies will be affected by the decisions that are made by the executive team as well as the result. The clients will be affected by the internal stakeholders’ activities. The products and services they receive during and after the acquisition process may meet or fall short of their expectations. In this case, the goal is to exceed these expectations. Suppliers will also affect the new company’s ability to meet the client’s demands and needs. The local and federal governments will have an effect on the process through regulations that govern acquisitions. Finally, the nearby community could benefit from the acquisition through Corporate Social Responsibility activities that improve their livelihood, local economies, and direct or indirect employment. Most importantly, the process is expected to take three months before completion. During this period, each team member will have an opportunity to contribute and learn. Therefore, let us all take advantage of the opportunity and enjoy the new challenge.
Good day.
Project summary updates
The Acquire Project will kick off on June 30, 2021. It will involve individuals from the respective companies. The operational team will rely on the executive group to successfully participate in the project. The operational team members will report to the respective project managers, who will report to the executive team. The project managers will act as the main link between both teams. The project is expected to take three months. All individuals who are assigned to the Acquire Project remotely or physically are expected to carry out their roles and collaborate with team members. The different project stages will be highlighted in green, red, or yellow to signify progress. Green will represent on track, red will signify a need for immediate action and attention, while yellow will signify slow progress (TwProject, 2020). Team members are expected to seek guidance to resolve any of the issues in progress to ensure that deadlines are met.
The main milestones of the Acquire Project will include First Things First, Groundwork, and Finalization. The First Things First milestone will involve setting objectives, identifying strategies, and initiating the acquisition process. The Groundwork milestone will involve addressing legal, financial, management, and human resource aspects. The Finalization stage will involve the main takeover, which should be seamless. The main risks that the Acquire Project could encounter include insufficient finances due to delays (deliberate or circumstantial), incompetence among employees, lack of teamwork, and lack of commitment. However, each of these aspects can be managed in various ways by the executive team. All members will receive constant updates through email and meetings, both online and physically.
Project communications
Communication techniques are critical for a project’s success (Joubert, 2020). Acquire Project will rely on various modes of communication such as face-to-face, video conferencing, email, and conference calls (Rajkumar, 2010). These meeting platforms have been chosen due to their effectiveness in facilitating communication among members working remotely and physically. Physical meetings will occur in the initial stage of the project. This initial meeting will allow all members to meet each other and familiarize the operational and executive teams. It will play a critical role in building trust among employees. All employees should attend this first meeting from both companies. After completion of the Acquire Project, the members will meet again to assess the performance and celebrate the success. In addition, the performance assessments will be conducted using this platform.
During the project, the team members will meet through video conferencing. The platform will allow members who are working remotely and those in physical locations to interact and remain updated on the progress. Members will also discuss issues that arise during the project and find solutions to these challenges. Furthermore, video conferencing and physical meetings will be used concurrently to facilitate performance management.
Emails will play a critical role in ensuring all members are updated. Team members from both groups can use emails to raise concerns or seek clarifications. The project managers will use emails to document the information that is discussed in various meetings and offer guidance to the operational team. Members will receive the project’s progress through electronic mail. Each team leader will receive their group’s roles and responsibilities via the platform. The project’s Gantt chart will be accessed through emails alongside other graphic representations that provide a visual pictorial. In addition, the team leaders will be expected to send their group’s progress to the project managers every week. Any performance assessments that are conducted will involve teams and shall be conducted during each milestone.
Conference calls will also be used for communication between the project managers and the executive team. These will complement the video conferencing sessions. They are ideal for discussing emergencies that arise before and after scheduled meeting dates. The respective persons will update each other on progress and issues that need attention. The four modes of communication will be used together for maximum efficiency. Each of the members should embrace digital tools for seamless communication.
