Project Management Plan – Devereaux Products Warehouse Setup

Overview

I have been contracted by Devereaux Products to design and set up a 10,000 sq ft textile manufacturing warehouse in the state of Texas within 6 months to produce protective car covers called Exhail. The project starts on 10/22/2021. The budget given is $100,000, and the completion date is 04/22/2022. AutoCAD will be the software used to design the layout of the production warehouse, and MS Project is the preferred project management software. A 10,000-square-foot warehouse has been leased, and all the working permits have been granted. There are eight total employees: three tailors, two cutters, the warehouse manager, and two shipping and receiving employees. Thus far, the warehouse is empty and ready to be occupied. There will be an assembly line to produce the Exhail products. The cutting station to cut out the patterns, the product assembly station to assemble all cut pieces, the sewing station to sew all cut pieces, the quality control station to ensure assembly is done correctly, and the packaging station to prepare for shipping.

Business Objectives

To set up a textile production warehouse within a six-month timeframe with a starting date of 10/22/2021 and a completion date on 04/22/2022. With a budget of 100k, a layout will be designed with AutoCAD design software, all equipment will be purchased, and contractors in the will bid on the space reconstruction within the warehouse. Further breakdown of each task will be organized within MS Project.

Project Time Management Plan

The intent of the time management plan of the textile production warehouse is to give a clear understanding of when important milestones will start and be completed. Also, the plan will manage the schedule and “the task element of work is found on the work breakdown structure (WBS) below.” Schwalbe K. (2019)

Work Breakdown Structure (u02a1)

Task Task Name Duration Start Finish Predecessors
1 Set up warehouse 131 days Fri 10/22/21 Fri 4/22/22
2 Project start 22 days Fri 10/22/21 Mon 11/22/21
3 Floor layout (equipment) 23 days Tue 11/23/21 Thu 12/23/21 2
4 Material Orders from vendors 14 days Fri 12/24/21 Wed 1/12/22 3
5 Inventory Rack set up 6 days Thu 1/13/22 Thu 1/20/22 4
6 Office equipment set up 1 day Fri 1/21/22 Fri 1/21/22 5
7 Computer systems set up 43 days Mon 1/24/22 Wed 3/23/22 6
8 Hire employees 29 days Thu 3/24/22 Tue 5/3/22 7
9 Quality control training 1 day Wed 5/4/22 Wed 5/4/22 8
10 Safety training 0 days Wed 5/4/22 Wed 5/4/22 8
11 Contract logistics company 0 days Wed 5/4/22 Wed 5/4/22 8

Project Sequencing Evaluation (u02a1)

The floor layout will set off the project’s initiation. Six of the project’s milestones are dependent on each other. Most of these milestones are connected to each other through mandatory dependencies. This means that the floor must be laid out before the materials are ordered from the vendors. Immediately after the floor layout is complete, the process of contacting vendors begins. The relationship, in this case, is Finish-to-start (FS). Similarly, the network systems cannot be set up until. The office equipment is in place. Training cannot occur until employees are hired and all other activities that are connected to the workplace are completed. However, the training and contracting of logistics companies occur simultaneously on the same day.

Project Schedule Plan / Critical Path Analysis (u03a1)

Introduction

The critical path shows activities that could cause a delay in the entire project.

Critical Path Analysis Summary: (u0a3a1)

Task Task Name Duration Start Finish Predecessors
2 Project start 22 days Fri 10/22/21 Mon 11/22/21
3 Floor layout (equipment) 23 days Tue 11/23/21 Thu 12/23/21 2
4 Material Orders from vendors 14 days Fri 12/24/21 Wed 1/12/22 3
5 Inventory Rack set up 6 days Thu 1/13/22 Thu 1/20/22 4
6 Office equipment set up 1 day Fri 1/21/22 Fri 1/21/22 5
7 Computer systems set up 43 days Mon 1/24/22 Wed 3/23/22 6
8 Hire employees 29 days Thu 3/24/22 Tue 5/3/22 7
10 Safety training 0 days Tue 5/3/22 Tue 5/3/22 8
11 Contract logistics company 0 days Tue 5/3/22 Tue 5/3/22 8

In this project, the critical path involves nine activities. These must be completed as scheduled to ensure that the project is not delayed. A delay in a single milestone can cause disruption to the other dependents.

Project Cost Management

Introduction:

The project is expected to cost about $100,000. This budget is constrained because it does not include the renovation, plumbing, wiring, and air conditioning of the warehouse.

Cost Estimate Budget / Schedule Update (u04a1)

Table 2: Cost estimate

Task Task Name Duration Cost Estimate Budget
1 Set up warehouse 131 days $100,000
2 Project start 22 days $3000
3 Floor layout (equipment) 23 days $30,000
4 Material Orders from vendors 14 days $5000
5 Inventory Rack set up 6 days $5000
6 Office equipment set up 1 day $2000
7 Computer systems set up 43 days $25,000
8 Hire employees 29 days $15,000
9 Quality control training 1 day $5000
10 Safety training 0 days $5000
11 Contract logistics company 0 days $5000

Introduction

This section includes a budget breakdown, as shown in the table above. The cost breakdown highlights the fund allocation to each milestone or project requirement. It is important to enable the project manager to work within the provided budget. Planning within the allocations is important because it will enable the achievement of the entire project with the available financial resources.

Budget Summary Information

The entire project costs $100,000. This amount is limiting but can be utilized sufficiently. The floor layout, computer systems set up, and recruitment milestones will consume a sizable portion of the financial resources. The office equipment set up and the project’s start will consume the least resources.

MS Project Schedule Update

The project’s schedule update provides information regarding the progress of the various milestones and the entire project. The project file (see link below) shows the gradual progress of the completion. The first two milestones are completed. The fourth milestone is 20 percent complete, while the fifth is 5 percent complete. Based on the current progress, the project seems to proceed well because the staff members are ahead of the deadlines. At least 20 percent of the entire project is complete.

Project Quality Management

Management of a project’s quality includes planning, the performance of quality assurance, and quality control. Each of the three elements considers the inputs, tools and techniques, and the outputs. Metrics that are chosen for quality management need to highlight business, customer, and process measures.

Project Quality Tools and Metrics (u05a1)

In this project, the goals, objectives, quality audits, process analysis, projects’ updates, quality checklists, scatter diagrams, Pareto charts, histograms, and inspections. The image below shows a Pareto chart. It shows the delays and errors that have occurred during the project’s implementation. The Pareto chart is ideal for breaking down a big issue that is encountered during a project.

The histogram below displays an example of a process of tracking the quality of the project. Using a histogram allows the users to understand the information more clearly than a table.

Scatter diagrams help the projects’ stakeholders to understand the relationship between two factors or variables. These tools are important for analyzing the project’s completion progress as well as its quality levels. In case quality issues are identified, the project team can find solutions before completion to avoid continuous quality issues.

Project Lessons Learned and Reflection

Quality Accreditation Evaluation (u06a1)

The process of ensuring that quality is obtained in the different milestones is time and resource-consuming. However, it saves the company significant costs that would be incurred through remedial action. However, the project manager should understand the different tools of quality assurance and control. This understanding ensures that the tools are efficient when utilized appropriately. The process of setting SMART goals initially eases the evaluation of quality once the project kicks off. For accuracy and consistency, it is necessary to periodically assess quality by examining the projects’ progress (Stojcetovic, Misic, & Živče, 2013).

Lessons Learned / Reflection (u06a1)

Lessons Learned

This project has provided numerous lessons on management and implementation. First, I have learned the effectiveness of using MS project when planning. Secondly, the process of dividing the task into different milestones eases the implementation. Thirdly, I am aware that setting goals before the project begins for each milestone increases the likelihood of meeting the quality standards. It also eases the process of monitoring the progress and controlling quality. Fourthly, resource allocation is critical for ensuring that the milestones are achieved within the budget.

Reflections

The implementation of a project requires both human and financial resources. To effectively implement the project, it is important to put together a team that is efficient. Proper management of the team is also critical in ensuring the individuals remain motivated. Furthermore, the provision of financial resources is not enough. It is necessary to provide tools and skills where necessary to ensure quality. The workforce also influences a project’s quality.
