Team Involvement and Communication in the Change Process- A Reflection on Planning, Preparation, and Clarity

A major change in practice that took place in my workplace is the requirement to deliver various health care and consultation services via telehealth services. As the change affected all clinical and administrative departments, all team members from all departments were involved in the change process. The patients and other stakeholders were also required to participate in the change process by providing their views including possible barriers and solutions. The preparations for the change towards the full implementation of telehealth services for remote consultations and care delivery included announcing the plans across the facility and to all stakeholders and setting up a telehealth framework. All users including the healthcare professionals and other targeted and select stakeholders were trained on the use of the telehealth technologies including maintaining essential security of the systems. The training focused on basic technical capabilities as such telehealth competencies are critical in the implementation of telehealth in nursing practice (Rutledge et al., 2021).

Communicating the goals and outcomes of the change involved the use of flyers, direct announcements, internal memos, and patient and stakeholder outreach efforts. The goals and outcomes were also communicated during departmental meetings and the training sessions. Based on feedback from stakeholders, the communication was clear. Based on obtained feedback from patients and care providers, the shift from physical consultations and care delivery to using telehealth services has improved convenience in the access to care and consultation services. Healthcare professionals note that the use of telehealth services has improved their efficiency of collaboration in care delivery and has reduced the burden of delivering care to multiple patients.

In order to have a culture that is open to change, the facility’s management will need to focus on essential elements of successful change including ensuring clear and timely communication, inclusion of all stakeholders in the change process, focused leadership, training, and support during and after the change, and establishing an open channel to collect and provide feedback from stakeholders.
