The 15th Seekers and Finders Club

The 15th Seekers and Finders Club is a for-profit healthcare organization located in Washington DC. The 15th Seekers and Finders Club focuses on reducing and preventing drug and substance abuse. Its mission is to provide a healthcare environment that encourages and supports holistic healing from drug and substance abuse and related trauma. The organization also provides counseling and support services for people recovering from drug addiction and experiences with drug-related abuse. Currently, the organization has a total of 38 staff members, of whom eight carry out administrative roles, 10 provide administrative support services, twelve are qualified counselors, three are qualified substance abuse nurses and five offer support services to counselors and nurses. 15th Seekers and Finders Club has the capacity to manage all drug and substance addictions, victims of drug abuse, trauma, and patients with co-occurring mental health issues. The facility can attend to a total of 30 patients at a time and 80 a day.

Need for a System

Washington has, for the longest time, been dealing with a substance and drug abuse issue. Notably, marijuana is among the most abused drugs in the State. Other drug issues are related to cocaine, alcohol, heroin, methamphetamine, and abuse of prescription drugs (Johnson, 2020). The recent policy changes on drug abuse with regard to marijuana have seen an increase in the usage of marijuana and related drugs due to changes in attitudes, norms, and risk perception toward substance and drug use (Blevins et al., 2018).

Moreover, the 15th Seekers and Finders Club has recently seen an increase in demand for its rehab and support services. Due to the past low operating capacity, the organization did not find a need to adopt a patient health information system. Most of the data is managed using a traditional paper-based system and three computers. There is no specialized information management system. With the demand for services, the management of patient information, including names, reasons to seek services, and appointment dates, has been cumbersome. Some information has gone missing, and there have been cases of missed or conflicting appointments. Due to this, there is a need to implement a professional health information management system. A medical practice management system is proposed for the organization.

The main goals and objectives of implementing a medical practice management system are to:

Improve the efficiency of appointment scheduling,

Save time and money for better financial performance,

Improve service billing and management and administrative tasks,

Support 15th Seekers and Finders Club in service delivery,

Track the progress of clients and update recovery and support plans.

Support the 15th Seekers and Finders Club in its expansion plan.

System Acquisition

The 15th Seekers and Finders Club will acquire the system from outside. Although in-house development of the system ensures onsite availability and visibility of work, tailored development, and improvement of in-house innovativeness (Doran et al., 2019), 15th Seekers and Finders Club does not have the capacity to carry out such a system development. Outsourcing the system from established developers and providers brings in professional knowledge (Sayed et al., 2020). This is cost-effective as the Club does not need to hire new employees for the task. It also improves the speed of implementation as the system is already developed.

Timeline for System Implementation

A three-month timeline is projected for the whole project implementation. The two months account for system acquisition, redesign of the office space, purchase of required computer technologies, and staff training.
