Communication problems are common in the external environment, such as the public and media, because these environments include interactions between many people from different backgrounds. One of the common communication problems in this environment is the language barrier. The external environment consists of individuals speaking different languages which increases the likelihood of a language barrier due to misinterpretation of words and gestures. These misinterpretations may create conflict thus making it hard for people within the external environment to communicate effectively. The second communication problem is finding the right communication tool and channel. Sharing information with the public requires selecting an appropriate communication tool based on the audience’s preferences. In most instances, it is difficult to select an appropriate communication tool for all audiences because each individual prefers a specific communication channel thus limiting effective communication. The third communication problem is information overload, mainly because of the constant sharing of information before the audience processes the information that had been shared before. Information overload also arises from the sharing of irrelevant information, which is common in the media, especially when there are many trending topics.

The criminal justice system relies on effective communication to ensure that justice is served. For instance, during crime investigations, effective communication is essential in gathering information from witnesses. Effective communication is also important when making arrests because it ensures that the person being arrested understands why they are being arrested and their rights. One of the criminal justice agencies that face communication problems is the correctional agency. According to de França et al. (2023), most prisons experience communication problems because prison inmates have a high frequency of communication and language disorders which render them vulnerable to the correctional system. Prison officers also face various communication problems that impact their coordination of activities within the prisons. A study by Kendle (2014) indicated that cultural and methodological issues were the main barriers to effective communication in prisons. The cultural issues included the existence of too many working parts, the hierarchy in the prisons, lack of trust in managers, and the poor relationship between managers and other prison officers. Seeking feedback is essential in determining whether the selected communication channel is appropriate and identifying improvements that can be made to promote effective communication. Seeking feedback is also essential in addressing miscommunication, which could arise from language barriers because it creates an opportunity to clarify information and share additional information that could be needed. The second strategy that can be used to resolve communication issues is using technology. Technology can be used to promote real-time engagement with the audience so that miscommunication can be addressed instantly thus promoting effective communication. Technology can also be used to reduce information overload. According to Arnold et al. (2023), ICT can be used to reduce information overload by using tagging to replace folders and using algorithms to automatically summarize texts thus reducing the amount of information that the receiver has to summarize. Information technology can also be used to filter information to prevent the flooding of irrelevant information in the communication channels.

How Technology Can Play a Role in Facilitating or Hindering Communication in Each Environment

Technology can hinder and facilitate communication in the internal and external environment depending on how it is used. For instance, technology can facilitate effective communication by enabling real-time communication regardless of the location of the people engaging in communication. However, the use of technology in internal and external environments requires proper planning and monitoring to prevent communication barriers that could hinder effective communication. For instance, technology can hinder communication in internal and external environments if the information shared through communication technology channels such as email and text messages is misinterpreted. Misinterpretation of information shared through text messages or email may arise because the body language and tone of the sender are not conveyed or the use of jargon that the receiver may not be familiar with thus increasing the likelihood of conflicts and misunderstandings that prevent further communication. Technology may also hinder communication in internal and external environments because of information overload. Information overload mainly occurs because of access to a wide range of information regarding various topics which can be overwhelming making it hard for the audience to filter and find the information they want.
