The Yorkshire Clinic is an acute clinic located in Tacoma, Washington. The clinic is comprised of a group of 10 physicians, 2 physician assistants, 1 nurse practitioner, and several ancillary staff. Yorkshire Clinic serves a patient population of approximately 14,000. Because of an outdated EHR, Yorkshire has decided to implement a new EHR system to begin the process. They have chosen to conduct a readiness assessment and discuss the benefits and issues that may arise from implementing the EHR system, as well as complete a project plan which will include the staff needs and the need for data migration as well as the risk that may happen not implementing the data migration. The vendor under consideration and the implementation process will be discussed at a meeting, and then the proposal will be addressed.

A readiness assessment includes discussing the goals and objectives related to patient satisfaction, patient quality, the efficiency of productivity, and how to improve the work environment so that the clinic will run smoothly without any delays as much as possible. During this process, we will choose the implementation team, which will have a lot of skills and knowledge of the clinic and be able to devote a great deal of time to learning the new system, which will help train employees. During this process, we will also review the workflow, data collection, and administrative practice and ensure each employee using the system has adequate computer knowledge. Understanding your clinic’s present situation and distinguishing your main goal for improvement before implementation will make transitions easier (health IT, 2014). When implementing a new system, you must ensure all computers are up-to-date and able to handle the new EHR system by knowing the vendor’s recommendation for the server and hardware being used.

The reason for the upgrade of the old EHR system must include the benefits of upgrading the system, such as improving the overall health care provided to patients as well as including new software such as the CPOE, which help[ physician reduce medication errors as well as let physicians know when there is a conflict with another medication already prescribed. When you have all this done, it is time to train the staff; employees must be trained and have complete knowledge of the system before implementation. One way to train is super users who the vendor trains; these individuals turn around and train the other staff in the clinic. During this time, the clinic will discuss the post-implementation phase of electronic records and the planning implementation budget, which will ensure enough money for the system and cover all processes, including staff training.

Data migration is simply merging data from one computer or software into a new system or device.
